Runflow and Microsoft Copilot: productivity for the person working, or the process that runs on its own.
An AI assistant inside Microsoft 365, per user. Where it helps the person and where the agent takes over the process.
In one paragraph.
These are two different categories, and confusing them costs money. Microsoft 365 Copilot helps the person doing the work: it summarizes the meeting, writes the document, analyzes the spreadsheet. An operations agent does not help anyone work better: it executes the process from start to finish, inside the systems, and calls in the human when a decision is needed.
Microsoft Copilot and Runflow.
The comparison is about the delivery model, not about a feature list. Features change month to month; who builds it, who sustains it and how it is billed is what decides the project.
| Microsoft Copilot | Runflow | |
|---|---|---|
| What it is | An AI assistant inside Microsoft 365, with Copilot Studio for creating agents that automate business processes. Microsoft's own description. | An AI agent orchestration platform, plus the Forward Deployed engineers who deploy it with your team. |
| Where it operates | Inside the Microsoft 365 experience: Word, Excel, PowerPoint and Outlook. | Inside the operation: ERP, CRM, the service channel and the customer's official WhatsApp. |
| Who builds what goes to production | Your team, in Copilot Studio. | Our engineers, inside your operation, building alongside your team. |
| Choice of model | The model is the vendor's. | Claude, GPT, Gemini, Llama, Mistral or your own model, with automatic fallback when a provider goes down. |
| Cost control | A per-user license, and Copilot Studio bills by usage. | LLM Hub: consumption and cost by agent, by team and by execution, with a spending cap before it becomes a problem. |
| How it is billed | Per user per month. The Microsoft 365 Copilot Business add-on costs US$ 18 per user on the annual plan, and requires a qualifying Microsoft 365 plan. | By scope, defined in the free assessment. No hidden setup fee. |
| Where the data runs | Microsoft's cloud, anchored on the Microsoft Graph. | Your cloud, with your own keys, or operated by Runflow. Per-client isolation and compliance with the LGPD, Brazil's data protection law. |
We are not always the answer.
When Copilot is the right choice
- The company already lives inside Microsoft 365 and the gain you are after is individual productivity.
- The data that matters for the case is already in the Microsoft Graph.
- The goal is to give AI to everyone in the office, with admin controls.
- There is no end-to-end process to automate, but rather a person's task to speed up.
When Runflow is the right choice
- The process crosses systems that are not Microsoft: the ERP, the CRM and the channel where the customer talks.
- It is customer service and front-line revenue, not office productivity.
- You want to choose the model and have a fallback, rather than inherit the vendor's.
- A regulated sector, with a per-decision trail and human approval at the risk points.
The two coexist without friction, because they are not competing for the same slot. Copilot takes care of productivity for the person working in Office. The agent takes care of the process that crosses the operation.
